My family doesn’t need care every week. Can I register for only the weeks I need care?

In order to maintain consistency within the program, Y Care is not able to accommodate rotating schedules. All program participants must be continuously enrolled in the program. Fees are based on enrollment rather than attendance and fees are not prorated if your child is unable to attend. Some exceptions apply in the case of illness or family emergency. Please contact the Childcare Services office at 901.509.0959 for more information.

What if we want to change our schedule once we are enrolled?

Any changes in enrollment, such as a change in location or program (before school, after school or before and after school care) are based on current availability. Please complete the Childcare Change Form or contact the Childcare Services office at 901.505.0959.

If I remove my child from Y care during the school year, is it possible to re-enroll again during the same school year?

Yes, if spots are available. Re-enrollment into Y Care is based on availability. There is no registration fee required to re-enroll during the same school year. To remove your child from Y Care, submit the Childcare Withdrawal Form at least one week prior to the withdrawal date to stop the bank draft.

How much does Y Care cost?

Fees vary by location and include weekly tuition and a one-time registration fee. The registration fee is waived for families who have a household membership with the YMCA. Income based discounted rates are available at all of our locations. Some of our locations accept DHS Childcare certificates. Please contact the Childcare Services office at 901.505.0959 for more information.

How do I pay?

All payments are due weekly and are required to be automatically drafted from a debit or credit card. Payments are drafted each Friday.

When are payments due?

The registration fee is due at the time of registration. Full payment for the first week of care is due before the week begins. This and subsequent payments are drafted each Friday for the following week of service.

What if my payment is denied by my bank or credit card company?

A $20 late payment fee will be charged if the payment is not made by midnight on Friday. A $30 returned item fee will be charged for any payments returned or denied by the bank or credit card company. Late or returned payments may result in a lapse in childcare services.

I need assistance for with my Y Care payments. Is financial assistance available?

Yes. Income based discounted rates are available at all of our locations. Some of our locations accept DHS Childcare certificates. Please contact the Billing Department via email or phone, or fill out the Income Based Rates/Fee Assistance Form to apply.

I already receive financial assistance for summer camp. Do I need to reapply for Y Care?

Yes. Please contact the Billing Department via email, phone or fill out the Income Based Rates/Fee Assistance Form and your paperwork from summer camp will be used to determine your afterschool rate.

Once I am registered, what else is required to begin the program?

Please notify your child’s teacher if they will be attending an after school program, so your child can be dismissed from the classroom properly. Only parents or guardians can inform the school of dismissal changes.

Is care available on days when school is not in session?

We offer School Holiday Camps at select locations in various districts when school is not in session. School Holiday camps are typically available during professional development days, fall, winter or spring breaks and other days out.

Are fees prorated for days my child does not attend Y Care, such as holidays or days my child misses Y Care because of illness, other commitments, or inclement weather?

No. The weekly fee is the same every week. Fees are based on enrollment rather than attendance and fees are not prorated if your child is unable to attend. Some exceptions apply in the case of illness or family emergency if a child is unable to attend a full week of care. Occasionally a week will be prorated if the school calendar schedules 2 or fewer days of school. Fees will not be prorated due to inclement weather.

What should my child bring to Y Care?

Nothing special is required. Your child can come straight to Y Care from their classroom with their backpack, homework and anything else they need to take home that evening. Please leave all personal items such as toys and electronics at home unless your site director communicates otherwise.

Do you help with homework?

Yes. Students have time to begin homework and receive assistance from Y Care staff, however staff cannot provide one to one assistance or tutoring.

What snacks are provided?

Each day during after school care, students receive a healthy snack that follows the Healthy Eating and Physical Activity guidelines established by the USDA.

Is Y Care licensed?

All of our before and after school Y Care sites are licensed child care centers under the supervision of the Department of Human Services in Arkansas, Tennessee and Mississippi.

What are the staff to student ratios for Y Care?

We follow state laws that requires a 1 to 20 staff to student ratio.  In many cases, our staff to student ratio is as low as 1 to 15.

How do you ensure the health and safety of children in Y Care?

The safety of the children in our program is our first priority. All childcare staff receives multiple training opportunities and are First Aid, CPR and AED certified.

No child, regardless of circumstances, is allowed to leave the care of the YMCA staff with an unauthorized person. Children are released only to the people listed on the registration forms. Adults authorized to pick up a child must be at least 18 years old and will be required to show a valid photo ID.  Additions of persons must be made in person with the school site director.

In the event a child is not picked up by the time the program closes, the child will remain supervised at all times. A late pick-up fee is charged to the account. Staff members will make numerous attempts to contact the parent and/or emergency contact.
